A rough guide to booking your group in to Spring Havest.
Trying to organise young people is often like herding cats, and we can’t really help you with that unfortunately. But if you are thinking about bringing your youth group to Spring Harvest, what we can do is try to make the booking process as simple and clear as we can.
- Firstly, work out which break you want to go to, and how many places you want to book.
Young people tend to be bad at booking early, so you may have to take a bit of a gamble on how many places you want. Weigh up the risk of losing deposits over not having enough spaces, and think about how many over-18s you’ll need to bring (one per chalet).
- What type of accommodation do you want?

There are catered or self catering options. Handy hint – if you’re going self-catered, the cheapest way to do it is to book at least 1 apartment with a kitchen/lounge and book everyone else into room only accommodation. If you don’t mind being a little squashed, you can fit up to about 20 people into a kitchen/lounge. 4 berth apartments come with 4 chairs and 2 sofas, 6 berth apartments come with 6 chairs and 2 slightly larger sofas. Remember to bring extra cutlery and crockery though! You could ask some adults to come and cook, and this might help with having an over-18 in each chalet as well!

- Work out how much it will cost
We have a spreadsheet that might help you with this, and with assigning chalets (see step 5). Just get in touch if you would like us to send this to you, or you might want to create your own. Deposits are charged per person and are £35 for anyone aged 15 or over and £20 for anyone aged 14 or under at the start of whichever break you are attending.
If you do not have enough people to fill a chalet, you will be charged an under-occupancy rate, which is equivalent to the cost of a child place for each unused bed space.
We have a concessions scheme, so if your young people or their parents are in receipt of certain benefits, they may be eligible to apply for a discount. Please visit www.springharvest.org/book/concessions/ for more info.

It probably easiest to do this by phone, but you can book online if you have a group of less than 20 people. If you have a group of more than 20, you will need to book by phone anyway.

Remember to talk to Butlins about the placement of your whole group. You’ll probably want to be all in the same village in the same row if possible, so it’s worth checking this.
- Assign people to chalets
This step can come before or after step 4. You will need to ensure there is at least one over 18 year old in each unit of accommodation. You may want to think about having boy and girl chalets, and bear in mind each unit will have a double bed. So if your young people don’t want to share, you could think about bringing sleeping bags to use on top of the bed. Bear in mind your Child Protection Policy as you assign adults to chalets and rooms.
- Pay the outstanding balance
This will be due 56 days before the start of the event (if you book after this you will have to pay in full at the time of booking). Butlins’ will send you reminders though!
- Go to Spring Harvest!
As a youth leader, you might like to go to the youth programmes with your group. We have two programmes, Distinctive which is aimed at 11-14 year olds, and iScape, which is aimed at 15-18s. If you want to go to iScape, that’s no problem, you can just go, but you might want to make yourself known to the youth team.
